Internal Audits
Conducted as part of the IMS Annual Programme by the IMS Management Team, the Internal Audits play a critical role in ensuring that processes, procedures, and controls are effectively managed and aligned with Devoteam Portugal strategic objectives. By systematically identifying areas for improvement and verifying compliance with regulatory and operational standards, internal audits help maintain a robust, responsive, and resilient IMS, essential for our long-term success and sustainability.
Employees play a vital role in this process by adhering to established procedures and actively participating in audits when required. Their engagement helps foster a culture of compliance and continuous improvement, which is fundamental to achieving and sustaining the effectiveness of our IMS.
External Audits
External audits provide an objective assessment of our IMS and validate compliance with ISO 9001 and ISO 27001 standards.
Scheduled in the IMS Annual Programme, they are conducted by accredited certification bodies and offer insights into system performance and improvement opportunities.
The IMS Management Team ensures readiness by preparing necessary documentation and processes and facilitating collaboration with auditors.
Employees contribute to the success of external audits by:
Ensuring their work processes comply with IMS policies and procedures.
Providing accurate and timely information or documentation requested by Auditors.
Demonstrating a commitment to the Devoteam Portugal’s standards and objectives.
Actively participating in audit-related discussions or interviews if required.
IMS Review
The IMS Review is a systematic evaluation of the overall effectiveness and performance of the IMS. It ensures alignment with:
Organisational objectives
Regulatory requirements
Industry standards
This review provides an opportunity to identify strengths, address shortcomings, and make informed decisions to enhance the management system. Conducted at planned intervals, IMS Reviews contribute to continual improvement, process optimisation, and the DEvoteam Portugal's overall success. Key outcomes of these reviews are communicated to all relevant stakeholders.

Reporting Non-Conformities or Improvement Opportunities
Continual improvement is at the heart of Devoteam Portugal’s IMS. It involves proactively identifying and implementing enhancements to our processes, controls, and services. This commitment ensures that we consistently meet stakeholder expectations and adapt to evolving business and regulatory requirements.
Employees, clients, and third-parties are encouraged to share any identified non-conformities or improvement opportunities related to Devoteam Portugal's processes, practices, products, or services with the IMS Management Team.

IMS Change Management
To ensure that changes to IMS processes and related documentation are effectively managed and controlled, employees must:
1) Submit a change request to the IMS Management Team before implementing any changes.
2) Include the following details in their request:
Description of the proposed change
Justification and objectives for the change
Initial assessment of potential impacts and affected stakeholders
Change requests should be sent to 📧pt.compliance@devoteam.com for validation and approval. The IMS Management Team will assess the proposed changes and provide feedback on implementation.

Documented Information Management
Effective document management is a cornerstone of Devoteam Portugal’s Integrated Management System (IMS), ensuring that all documents are systematically created, controlled, and maintained to support both compliance and operational efficiency. Proper document management follows established procedures for document creation, approval, access, and updates, ensuring that the right information is always available when needed. By adhering to these practices, we maintain the integrity and effectiveness of our IMS, contributing significantly to the overall success of our organisation.
Documents must be managed solely on IT Department-approved Information Systems, in accordance with applicable policies.
